Since the Broadcom channel restructure, most VMware customers cannot buy direct. Renewals go through an authorised partner — so the practical question is what a partner needs from you to quote accurately, and quickly.
Most of the delay and most of the confusion in a renewal traces back to an incomplete first request. Four pieces of information fix that.
The Four Things That Determine Your Quote
1. Your renewal date. When the current term expires. This sets urgency and determines whether you are negotiating from a position of time or of deadline. If you do not know it, that is itself worth resolving today — see how the VMware renewal process actually works.
2. Your licensable core count. Physical cores across populated sockets, with the minimums applied: 16 cores per populated socket, and a 72-core floor per order. This is the single biggest driver of the number, and the one most often wrong. The mechanics are in how VMware per-core licensing works.
3. Your current edition, and where you want to land. vSphere Foundation and Cloud Foundation are priced very differently. If you are on a discontinued edition — Standard, Enterprise Plus, or an Essentials kit — the renewal is a move to a different product, not a like-for-like continuation.
4. The term you want quoted. One year or three. Note that a multi-year term is usually price protection rather than a discount: it locks the rate against increases rather than reducing it, and it generally cannot be exited for convenience.
What a Good Quote Looks Like When It Arrives
It should state, in writing and without you having to ask: the SKU and its full name, the quantity in cores, the term and its start and end dates, the unit price per core per year, and what support is included.

Comparing Two Quotes Fairly
Partners quote against the same Broadcom programme. When two quotes differ materially, the cause is almost always an assumption rather than a rate.
Core count. Did both count the same hosts, and did both apply the minimums the same way? This explains most large gaps.
Tier. One quoting VVF and the other VCF is not a price difference, it is a different product.
Term. A one-year and a three-year quote are not comparable annually without saying so.
What happens afterwards. Whether anyone is on the hook once the purchase order is signed. This does not appear on the quote at all, and it is the part people regret.
Normalise the first three and the fourth becomes the actual decision.
