The renewal in one paragraph

VMware is a per-core subscription now, sold in one, three and five-year terms through authorized partners, with a 16-core minimum per CPU and 72 cores per order. Renewal is the one moment the edition, the core count and the term are all open. The work is: confirm who can quote you, count the cores you are actually keeping, decide whether the estate needs VMware Cloud Foundation or vSphere Foundation, pick the term, and get the request in far enough ahead of the date that a quote can be raised, reviewed and ordered before the entitlement lapses.

What changed, and why your last renewal is not a template

Broadcom retired perpetual licences, collapsed the product line into a few per-core subscription tiers, and rewrote the partner programme. The partner who quoted you last time may no longer be authorized, and the SKU on your last invoice may no longer exist. Start from the current programme, not the old paperwork.

Decide whether you are renewing at all

Four options exist at renewal time: renew through a partner, renew direct if Broadcom manages your account, third-party support on a perpetual key, or migrate. The licence line is the smallest part of that comparison; engineering time and cutover risk decide it. Most estates renew once, properly sized, while a migration is evaluated for real.

Find out who can quote you

Unless Broadcom manages your account directly, an authorized partner raises the quote and places the order through a distributor. Check the partner against Broadcom's own directory, send the expiration date and core count, and expect the quote back within about a business day. If your previous partner lost authorization, a current one can take the renewal over.

Count the cores you are actually keeping

Physical cores per populated socket, each socket below 16 raised to 16, summed across the hosts you intend to keep, floored at 72 per order. Estates shrink between renewals and nobody re-counts; an RVTools export settles it in one file and is the single most useful attachment on a quote request.

Choose the edition: VCF, VVF or vSphere

The edition sets the per-core rate and the entitlements. An estate that does not run NSX, the full Aria suite or large vSAN capacity is usually paying for VMware Cloud Foundation it does not use, and can move down to vSphere Foundation at renewal on the same core count. Settle the tier before the term, because the tier is locked for the term's length.

Choose the term: one, three or five years

Longer terms carry a lower annual rate and lock the edition and core count for their length. One year while a migration or tier change is genuinely under evaluation; three years for a settled estate; five for a large, stable one where the per-year saving is material. Ask for all three on the same core count so the difference is visible.

Read the quote and use the levers that move it

A quote is a core count, an edition, a term and a distributor's line items. The number that most often changes on review is the core count; the second is the tier; the third is the term. Partners quote against the same programme, so what differs between two quotes is sizing and term, not a hidden rate.

Timing: when to start and what happens if you are late

Quotes carry an expiration date, often thirty days, and internal approval routinely outlives it, so line up the approvers before requesting the quote. A subscription ends on its date with no automatic renewal, and a late renewal can carry a fee. Where the new term starts the day after the old one ends, no continuity mechanism is needed; where there is a gap, the partner asks Broadcom for one.

Air-gapped estates, regulated and public-sector buyers, licence audits, and Oracle running on VMware each change one step above. None of them changes the sequence.

Frequently asked questions

How far ahead of expiry should a VMware renewal start?

Far enough that a quote can be raised, approved internally and ordered before the date. With quotes valid around thirty days and approval chains often longer than that, starting sixty to ninety days out is comfortable; the request itself should go in once the approvers are lined up.

What do I need to send to get a VMware renewal quote?

The expiration date, the licensable core count (or an RVTools export so the partner can derive it), the edition you are on or want, and the term you want priced. Everything else is refinement.

Can I change edition or reduce cores at renewal?

Yes. Renewal is the point where the edition, the core count and the term are all open. Inside a term, cores can be added but not reduced, and the edition is fixed.

Do I have to use the same partner as last time?

No. Any authorized partner can take over the renewal; they locate your entitlement record from your company details so the quote prices as a renewal rather than a new order.
